About the Role
The Administrative Assistant will provide comprehensive administrative support across the organization by coordinating office activities, maintaining records and filing systems, preparing correspondence and reports, managing office supplies, supporting procurement and logistics activities, coordinating meetings and travel arrangements, handling incoming communications, and assisting with facilities and asset administration. The role will also support Human Resources with routine administrative activities, maintain accurate documentation, liaise with vendors and service providers, and contribute to continuous improvement of administrative processes and office efficiency. The position requires excellent organizational skills, attention to detail, effective communication, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide day-to-day administrative and clerical support to management and various departments.
- Maintain an organized, professional, and efficient office environment.
- Prepare letters, reports, presentations, meeting minutes, and other business documents.
- Manage incoming and outgoing correspondence, emails, telephone calls, courier services, and office communications.
- Coordinate meetings, appointments, travel arrangements, accommodation, and conference logistics.
- Maintain accurate physical and electronic filing systems while ensuring confidentiality and proper record retention.
- Assist in maintaining company databases, employee records, and administrative documentation.
- Monitor office supplies and consumables and coordinate procurement requests to ensure uninterrupted office operations.
- Assist with procurement processes, purchase requisitions, vendor communications, and invoice documentation.
- Liaise with suppliers, contractors, and service providers to support administrative and office requirements.
- Support office facilities management by coordinating maintenance, repairs, utilities, cleaning services, and office equipment.
- Maintain records of company assets, office equipment, furniture, and vehicle usage where applicable.
- Support Human Resources with onboarding documentation, attendance records, leave administration, and employee files.
- Assist in organizing company meetings, workshops, training programs, and corporate events.
- Prepare routine administrative reports and maintain departmental records.
- Ensure compliance with company administrative policies and procedures.
- Handle confidential information with integrity and professionalism.
- Identify opportunities to improve administrative processes and office efficiency.
- Perform any other duties assigned by Management.
Requirements & Qualifications
- Bachelor's Degree in Business Administration, Public Administration, Office Management, Commerce, or a related field.
- Professional certification in Office Administration or Administrative Management will be an added advantage.
- Minimum of 2 - 5 years of relevant administrative or office support experience.
- Experience in mining, construction, infrastructure, manufacturing, or related industries will be an added advantage.
- Experience in document management, office administration, travel coordination, procurement support, and records management is desirable.
