Role Objective
- Our client, based in Nairobi, is seeking a highly organized and proactive Operations Assistant to support the day-to-day business operations while providing administrative and executive support to management. The successful candidate will play a key role in ensuring smooth office operations, coordinating administrative activities, and supporting executive functions in a fast-paced environment.
Core Duties and Responsibilities
- Support the day-to-day operations of the business to ensure efficiency.
- Coordinate meetings, appointments, calendars, and travel arrangements for management.
- Provide executive support, including diary management, reservations, and other personal assistant duties as required.
- Prepare reports, correspondence, presentations, and operational documents.
- Maintain organized filing systems and ensure proper handling of confidential records and documentation.
- Coordinate communication with clients, suppliers, and internal teams.
- Monitor office supplies, stationery, and equipment inventory, and coordinate timely procurement and maintenance.
- Process incoming and outgoing mail, deliveries, and courier services.
- Track operational tasks and follow up on action items to ensure timely completion.
- Support management with general administrative duties and perform any other duties assigned from time to time.
Job Specifications and Qualifications
- Diploma in Business Administration, Communication or related area.
- Proficiency in MS Office Suite
- At least 2 years relevant work experience.
